As the Administrative Assistant, support will be provided for coordinating the activities of the office to facilitate towards the efficient operation of the organization. To have an appreciation for and understanding to maintain confidentiality, diplomacy and tact at all times. The individual will interpret and make decisions in accordance with prescribed procedures, protocols, and professionalism of MYFRS.

Qualifications/RequirementsEducation and Experience      Relevant experience with administrative procedures and systems (i.e. filing, record keeping.      Computer skills and software (i.e. MS Office, database applications, etc.).      Previous experience in providing service to the public in an office setting.      Knowledge of operation of standard office equipment.      Completion of a two-year office administration diploma or equivalent combination of education and experience would be an asset.      Experience or willingness to learn basic bookkeeping duties and the software program Simply Accounting would be an asset. Requirement·         Driver License and Abstract·         Criminal Record Check

 



Duties

      Responds to phone, email and in person enquiries – providing general information and referring enquiries to appropriate sources based on a broad knowledge of the society’s priorities, procedures, protocols and personnel.

      Provides support to Committees as needed; attends meetings, as required, to record minutes.      Organizes special events as required.      Organizes and schedules meetings, including contacting participants, booking rooms, ordering refreshments, and arranging for parking as required.      Prepares meeting packages for distribution.      Review, document and distribute all incoming and outgoing correspondence.      Types, formats, copies, distribute, file and retrieve correspondence, reports and program documents.      Maintain marketing and promotion (website, newsletter, business cards, etc.)      Maintains a comprehensive filing system in accordance with COA requirements.      Manages facility space /resource calendar - prioritizing appointments and proactively resolving conflicts which can include a change recommendation.      COA reporting support.      Vehicle & building monitoring for maintenance and use.      Completes assigned special projects.
